Items Due For Ordering
The first table under the Purchase Orders tab is a very useful table. It is a list of Items / Parts that still need to be ordered and specific attention can be paid to those with a high “Days Overdue” amount or those that have a close “Required Due Date”.
Example of functionality in use
The following are the column header descriptions for the “Items Due For Ordering” table:
| Field | Description |
| PO # | This is the unique number that is given to an approved Requisition. |
| Item | The name of the Part that you are looking to order. |
| Qty | The number of items against the Purchase Order for that particular part. |
| Order By Date | The Application works out the difference between when the part is required by and the lead time of the part and gives a day >>> Required Due Date less Lead Day = Order By Date |
| Lead Days | For Catalogue Parts, you have to fill in “Lead Times”. Therefore this field will be populated with whatever is saved against that particular part. |
| Required Due Date | This is the “Due Date” that was defined when raising the Requisition. This field may be blank as it is not a mandatory requirement. |
| Days Overdue | Number of days overdue. |
| Vendor | The name of the Vendor that the Purchase Order is with. |
Only the “PO #” column is clickable in this table. While you can therefore click in to a Purchase Order – the information that is returned is read only and actually moves the user to the “All Purchase Orders” tab.
If you select a Purchase Order – this will open up a screen similar to the below. You are also to view the history of the Purchase Order. (Note: the history button is available on all screens throughout the “Purchasing Tab” – with the exception of the “Item Scheduling” Table.
Configuration of functionality
Access to this table is configurable by role.
Other Notes
When viewing this table - focus on those Items that are Overdue for ordering ("Days Overdue" column) or those where the Required Date is very close ("Required Due Date" column).
